Some Communication Tips
Introduction
Until recently you to get your message across you were required to be repeated 3 to 5 times, using 3 to 5 different communication vehicles; however, now it needs repeating 10-12 times by different communication methods
(source: Theresa Moulton, 2024e).
One reasons for the need to repeat messages moreis due to the amount of information that people are receiving every day, ie information overload.
One challenges is
"...how do you increase the amount of times we communicate the pertinent information without saturating our stakeholders?..."
Theresa Moulton, 2024e
Remember: everybody interprets information differently based on their life experiences.
Additionally,
"...In a stressful or changing work environment, a person's ability to process information decreases as the need to process their emotions increases..."
Theresa Moulton, 2024e
Furthermore,
"...Every negative message that is communicated, we need to have to positive messages..."
Theresa Moulton, 2024e
Tips
i) communications needs to be 2 ways (traditionally it has been one way from senior management downwards; however, employees need the opportunity to ask questions and to understand otherwise they become frustrated, angry, overwhelmed, etc)
ii) listen, no matter what (by listening to your staff will build trust and understanding; despite technology making communications easier, face-to-face is more powerful and effective as you can read the non-verbal responses as part of communications)
iii) take visible action (you need to
"...demonstrate that you have heard your stakeholders. You need to show your stakeholders at what they say and do has an impact, but was not doing this can mean they stop engaging with you..."
Theresa Moulton, 2024e
This involves giving them feedback on what's happened to their ideas. Assuming that the ideas are worthy, start implementing them immediately and let the relevant staff know.
Give credit where credit is due.
One of our clients started regular breakfast meetings with different staff to get their ideas. As a staff received no feedback on what happened to their ideas, the breakfast meetings disintegrated.)
iv) is not all about you (reframe your mindset and get curious about how your colleagues feel about the change, ie
"...- Where are they on the change adoption curve?
- Are they only superficially aware of what the change means to them?
- Can you accurately provide your executives with this information?
- What percentage air are you able to predict on your numbers?
- What are they next most important 3 actions that must be taken to address the organisational dynamics based on your assessment of where it is now?
- What information, encouragement, and knowledge to stakeholders need and from whom in order to be successful?..."
Theresa Moulton, 2024e
NB
"...At the end of the day people won't remember what you said or did, they will remember how you made them feel..."
